Primary Responsibilities
Walthall Oil Company is seeking a highly motivated Customer Success Specialist to join our rapidly growing team. This role is critical in ensuring our customers receive exceptional support, smooth onboarding, and proactive communication throughout their relationship with us. If you enjoy solving problems, engaging with customers, and working cross-functionally to improve processes, this is a great opportunity.
- Duties include but are not limited to the following:
• Serve as the primary point of contact for customer onboarding, setup, and account updates, to include:
—Customer Portal Registration/Vendor Setup
—Detail customer purchase order workflow and facilitate handoff to dispatch operations once onboarded
—Confirm & establish payment and remittance advice
—Obtain & file customer licenses / exemptions / documents
• Assist with customer inquiries regarding orders, deliveries, pricing, invoices, and general account support
• Work closely with Dispatch, Sales, AR/Credit, and Operations to resolve customer issues quickly
• Maintain accurate account data and ensure customer information is updated in real time
• Support the Sales Team with customer account updates and reporting
• Build strong relationships with customers to maximize satisfaction and retention
• Identify process improvements that enhance customer experience and internal efficiency
• Support special projects and cross-departmental initiatives as needed
Requirements
• Strong communication and customer-service skills
• Ability to juggle multiple priorities in a fast-paced environment
• Proficiency with Microsoft Office (Excel & Outlook especially)
• Experience with ERP, CRM, or dispatch-related software (preferred but not required)
• Strong follow-up, organization, and attention to detail
• Ability to learn industry-specific tools such as BizSpeed, SMARTank, and GIR (fluid management)
